Position Overview:
We are seeking a highly organized and proactive Administrative Assistant to support our team of investment professionals. The ideal candidate will be responsible for a range of administrative tasks, including managing schedules, coordinating meetings, and handling correspondence. This role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Administrative Support: Provide comprehensive administrative support to senior management and other team members. This includes managing calendars, scheduling meetings, and making travel arrangements.
Correspondence Management: Handle incoming and outgoing communications, including emails, phone calls, and mail. Prepare and edit documents, reports, and presentations as needed.
Office Coordination: Oversee day-to-day office operations, including ordering supplies, maintaining office equipment, and coordinating with vendors.
Meeting Coordination: Schedule and organize meetings, including preparing agendas, taking minutes, and following up on action items.
Client Interaction: Assist in managing client relationships by coordinating meetings, preparing client reports, and ensuring timely communication.
Document Management: Maintain and organize filing systems, both electronic and physical. Ensure all documents are properly filed and accessible.
Event Planning: Assist in planning and coordinating company events, conferences, and seminars.
Financial Administration: Process expense reports, manage invoices, and assist with budgeting and financial tracking as needed.
Qualifications:
Education: Associate’s degree in Business Administration or a related field preferred. Relevant experience may be considered in lieu of formal education.
Experience: Minimum of 2 years of experience as an administrative assistant, preferably in a financial services or investment management environment.
Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with office management systems and procedures.
Communication: Excellent verbal and written communication skills. Ability to interact professionally with clients and team members.
Organization: Strong organizational and multitasking abilities. Attention to detail and accuracy in all tasks.
Confidentiality: High level of discretion and the ability to handle sensitive information with confidentiality.
